Enter the people expected at each meal, then any extra meals you want to allow for. Counts are meals to plan for, not ingredient amounts or portion sizes.

How to use the meal headcount worksheet

Count attendance separately for each meal. A person joining lunch and dinner belongs in both rows. Add extra meals deliberately rather than increasing every category without explanation.

Worked example: lunch has 24 adults, 8 children, and 4 extra meals: 36. Dinner has 30 adults, 10 children, and 2 extra meals: 42. With breakfast at zero, the total is 78 meals across the day. That can represent 40 relatives, not 78 different people.

How much food should I buy? This tool counts meals, not ingredient quantities or portion sizes. Confirm the menu, supplier needs, and dietary arrangements separately. Create a separate copy for each day.
