04 · Give the plan a rhythm

Choose a reunion date to turn the suggested sequence into dates. Adjust the timing to your family, venue, and booking deadlines.

  1. About 6 months beforeAsk about availability, choose an organizing group, and agree on the purpose and budget.
  2. About 3 months beforeConfirm the date and place. Send invitations with a reply deadline and travel information.
  3. 30 days beforeFollow up on RSVPs. Plan meals, activities, accessibility arrangements, and volunteers.
  4. 7 days beforeConfirm headcounts and assignments. Share the schedule and a day-of contact.
  5. Reunion dayWelcome relatives, share changes clearly, and make time to enjoy being together.
  6. 7 days afterThank helpers, settle shared expenses, and record lessons for the next organizer.

The first two dates use 180 and 90 days before the reunion. A nearby reunion date may put some tasks in the past; start with the decisions still outstanding.
